Manage a commission from inquiry to delivery
Services can collect inquiries on Studio and above. Professional and Gallery add the linked project and task workspace. Commission invoices and deposits are arranged outside YFAS.
- On Professional or Gallery, open the inquiry in Leads. Set its Follow up date and use Follow-up due to find active inquiries needing attention. Reminder checks use UTC dates. Choose Start project when the work is agreed; the customer and inquiry carry forward.
- Agree the scope, size, medium, price, dates and delivery with the customer. Save the agreed details and quote in Projects before starting work.
- Arrange any invoice or deposit with your chosen payment service. Save its reference, confirmed payment evidence and next action in the project’s external payment fields. These notes do not collect money or create a YFAS order.
- Use Tasks to set priorities, due dates and progress. Keep required and used supplies linked to the project. Update project progress notes and final price as agreed.
- Confirm final payment and delivery through the agreed outside process, retain the evidence and mark the project completed. On Studio, keep this commission record in your existing outside system.
If you get stuck
If a customer already exists, the handoff reuses their email-matched record. Resolve duplicate customer records before converting an inquiry. Do not use an original-artwork checkout as a commission deposit.
